How to use it

  1. Enter the number of guests and choose hours and minutes in the time picker, or type a duration such as 02:30. Hours can exceed 24, for example 120:00.

  2. Name each food and enter the amount for one person for the whole event. The starting example is Burgers, 2, and Pieces / items. These portions are editable estimates.

  3. Choose Calculate party quantities to see the total for each food. The planner applies the event length estimate automatically.

  4. Save or share the plan, print or save PDF, or download CSV. Exports include the guests, event length, portions and food totals.

How it works

Total for each food = guests × amount per person × event length factor. For a 2-hour event, 20 guests × 2 burgers × 1 = 40 burgers.

The data file uses a factor of 1 for up to 2 hours, 1.25 for over 2 to 4 hours, and 1.5 for over 4 hours, including events lasting several days. These are planning estimates, not official consumption advice.

Enter each person's amount for the whole event, not an amount per day. The factor is applied once; the planner does not add meals or multiply portions by the number of days.

Each food is calculated separately and stays in the unit you choose. Whole pieces round up, while weights and liquids round up to 2 decimal places. CSV also includes the unrounded total.

Frequently asked questions

How much party food should I prepare per person?

Enter the amount you expect one person to eat over the whole event. The starting 2 burgers is an editable example. Choose portions to suit your guests, food sizes and menu.

How does event length change the food amounts?

The planner automatically uses the factor in its data file: 1 up to 2 hours, 1.25 for over 2 to 4 hours, and 1.5 for longer events. Each factor is a planning estimate and is applied once to every food.

Can I plan an event lasting several days?

Yes. Enter the total hours and any remaining minutes. For example, 48 hours covers 2 days and 120 hours covers 5 days. There is no 24-hour event limit. Enter portions for the whole event, not per day.

Can I enter weights or drinks?

Yes. Choose g, kg, oz or lb for weight, or mL or L for liquids. Enter the amount one guest will have. The result uses the same unit.

Why are some amounts rounded up?

You usually need whole items, so 1.5 sandwiches becomes 2 sandwiches. Weights and liquids round up to 2 decimal places. The result tells you when an amount was rounded.

Can I save or export the list?

After calculating, save it in this browser, share a link with your settings, print or save PDF, or download CSV. Saved plans open from Saved plans. Delete my data clears saved plans and preferences.
